Privacy Policy

Last updated: 05 July,  2026

Property Finder Hub is a licensed buyers agency operating in Australia (Licensed Real Estate Agency · ABN 36 577 119 452). We take your privacy seriously — especially given the nature of what you share with us during a property search. This policy explains what we collect, why, how we protect it, and what rights you have.

The short version

We collect only what we need to help you buy the right property. We tell you why we’re asking before we ask. We never sell your data, and we don’t quietly hand it to related companies to sell you other products — if we ever share it, you’ll know exactly who with and why, and you can say no.

1. What we collect

  • Identity and contact details — name, address, email, phone, date of birth where relevant to verifying you.
  • Property search information — location preferences, budget, timeframe, what you’re looking for.
  • Financial information relevant to your search — income and expenses, existing assets or investment properties, finance pre-approval status, and your price range.
  • Communications — records of our calls, emails, and messages, so nothing gets lost between conversations. If we record calls for training and quality purposes, we’ll tell you upfront and you can ask us to turn it off.
  • Technical information — website analytics (pages visited, device type), IP address, and cookies if you browse our site.

We only collect government identifiers (like a tax file number) if the law specifically requires it for a transaction, and we won’t use it for anything else.

Sensitive information (health, racial or ethnic background, religious beliefs, sexual orientation, and similar categories under the Privacy Act) is not something we ask for, and we don’t need it to do our job. If you happen to share something of this nature with us in conversation, we’ll only ever use it for the specific reason you raised it.

2. How we collect it

Wherever possible, we collect information directly from you — through our contact form, a phone call, email, or in person. Occasionally, we’ll collect information from other sources where it’s reasonably necessary: from your broker or accountant if you’ve asked us to coordinate with them, or from a co-buyer if you’re purchasing together. If we ever receive information about you that we didn’t ask for, we’ll only keep it if it’s genuinely relevant to helping you — otherwise, we destroy it.

If you choose not to share certain information with us, that’s okay — it may just mean we can’t move as quickly, or as precisely, on your search.

3. How we use it

  • To understand your situation and build a strategy suited to you
  • To search, evaluate, and negotiate on properties on your behalf
  • To coordinate with your broker, accountant, conveyancer, or building/pest inspector where you’ve asked us to
  • To communicate with you throughout the process
  • To meet our legal obligations as a licensed real estate agency

We will never use your information to market unrelated products or services to you, and we do not have related companies we pass your details to for cross-selling. If that ever changes, we’ll update this policy and tell you directly — not bury it in fine print.

4. Who we share it with

  • Your representatives and the professionals around your purchase — your broker, accountant, lawyer, conveyancer, or building/pest inspector, only where you’ve asked us to coordinate with them
  • Service providers who support our operations — for example, our website host and CRM provider, solely to help us deliver our service, and always under confidentiality obligations
  • Regulatory or legal bodies — only where required by law

We do not sell, rent, or trade your personal information, and we do not take referral payments from sellers, developers, or third parties that could compromise the advice we give you. That’s a written commitment, not just a policy line.

Overseas data storage

Some of the everyday tools we use to run the business (for example, email, website hosting, or scheduling software) may store data on servers located outside Australia. Where this applies, those providers are contractually required to protect your information to a standard consistent with Australian privacy law.

5. How we protect it

We store information securely, using a combination of access controls, encryption where appropriate, and restricted access — only people who need to see your information to help you can see it. We keep records for as long as required under our real estate licensing obligations, and no longer than necessary beyond that. When we no longer need it, we securely delete or de-identify it.
We can’t guarantee the security of information sent over the internet — no one honestly can — but we take reasonable, active steps to protect it at every point it passes through our systems.
If something goes wrong
If a data breach occurs that’s likely to cause you serious harm, we’ll notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme, as soon as practicable, along with clear steps on what you should do in response.

6. Your rights

Under the Australian Privacy Principles, you can:

  • Ask what we hold — request access to the personal information we have about you (a small admin fee may apply to cover the cost of retrieving it, and we’ll tell you upfront if it does)
  • Ask us to fix it — request a correction if anything is inaccurate, outdated, or incomplete. If we agree, we’ll make the correction within 30 days.
  • Interact anonymously — for general enquiries, you don’t have to give us your name upfront. Once we’re formally engaged to act for you, we’ll need to know who we’re dealing with, for obvious reasons
  • Opt out — of any communications you no longer want, at any time, including by clicking unsubscribe or replying STOP to any message

To do any of this, contact us at info@propertyfinderhub.com.au. We aim to acknowledge requests within 5 business days and resolve them within 30.

7. Cookies, web tracking, and advertising

Our website uses cookies to understand how visitors use the site — which pages get read, what device you’re on — and this may include collecting your IP address. If we run advertising campaigns (for example, on Meta or Google), we may use retargeting cookies so people who’ve visited our site see our ads elsewhere. These cookies don’t identify you personally, but if you’ve filled in a form on our site, that information may be linked to your browsing data. You can disable cookies in your browser settings at any time; it won’t affect your ability to browse the site or contact us.

8. Complaints

If you’re not happy with how we’ve handled your information, tell us — email info@propertyfinderhub.com.au with full details and we’ll acknowledge it within 5 business days and aim to resolve it within 30. If we need longer, we’ll tell you why and how long we expect it to take.
If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner:
